What Is a Hybrid Event?
A hybrid event combines an in-person audience at a physical venue with remote participants joining live online. Hybrid events became mainstream during 2020–2022 and have since become a permanent feature of the MICE industry — allowing organizations to reach wider audiences, reduce travel costs, and increase accessibility without sacrificing the value of face-to-face connection.
In Egypt, hybrid event production has grown rapidly, particularly for international conferences held in Cairo and Sharm el-Sheikh that draw delegates from across MENA and Europe who can’t always travel in person.
Components of a Hybrid Event Production
1. Multi-Camera Video Production
A hybrid event requires professional video capture. AVE Events typically deploys 3–5 cameras for a hybrid conference: a wide-shot stage camera, a tight presenter camera, a roving audience camera, and IMAG (image magnification) cameras feeding audience screens. Camera signals are mixed live by a vision mixer operator.
2. Live Streaming Infrastructure
We encode the mixed video signal and stream it to your chosen platform: Zoom Webinar, Microsoft Teams Live Events, YouTube Live, Vimeo, or a custom RTMP destination. Our streaming setup includes hardware encoders (Haivision, Wirecast, or vMix), redundant internet connections (venue LAN + 4G/5G bonded backup), and a dedicated streaming engineer.
3. Online Audience Interaction
Remote delegates should be able to participate — not just watch. We integrate live Q&A systems (Slido, Mentimeter), polling, and moderated question queues into the session flow. Moderators can bring remote participants on-screen via Zoom or Teams integration.
4. Simultaneous Interpretation for Hybrid Events
For bilingual Arabic/English hybrid events, we provide remote simultaneous interpretation (RSI) integration — interpreters working off a clean audio feed from the venue, with interpreted audio delivered to both in-room receivers and online participant headsets via RSI platforms such as Interprefy or Kudo.
5. Graphics and Branding
Lower thirds, name captions, session titles, sponsor slides, and countdown clocks are designed and operated by our graphics team during the event. A branded stream frame ensures your online broadcast looks polished and professional.
